- Allow at least 3 days for order approval from time of submission for accountability checks.
- Orders need to be in “Pending State Approval” status in the IIS by close of business the weekday before the processing day.
- If there is not enough vaccine in allocation, orders will be reduced based on the Vaccine Allocation and Equity Plan.

This spreadsheet contains vaccine administration data reported by facilities through the IIS. DOH will use this data when reviewing and approving order quantities for the current respiratory season. Respiratory Vaccine Choice Form
All providers must submit a Vaccine Choice form (PDF) to select RSV and/or COVID-19 vaccine order sets for the respiratory season. You will not have access to a respiratory order set without a completed form.

Vaccine Allocation Plan
The Vaccine Allocation Plan (PDF) describes the Department of Health’s (DOH) vaccine allocation strategy for fall respiratory immunization products during times of limited supply. This includes a strategy to address (a) phased in or limited supply at the beginning of the season or start-up of a new product, and (b) limited supply or production issues leading to limited product availability for a specified period.
During times of limited availability of a vaccine or immunization product, our goal is to balance accessibility, supply, and demand. The goal is to implement an approach that equitably offers products across the state and mitigates disparities in access. Allocation strategies are used until supply meets demand.

- When is ordering going to open?

RSV: Ordering is planned to open August 10.
Flu: The exact timeline is dependent on receipt of doses from manufacturers but based on recent seasons, ordering is expected to open between mid-August and Labor Day.
COVID: The exact timeline is dependent on FDA approval and receipt of doses from manufacturers but based on previous seasons, ordering is expected to open in late September to early October.
- Why was my order cut?

Orders may be reduced during the Local Review stage if the requested doses are larger than the recommended order quantity (ROQ). The ROQ is created from the average doses administered in the previous three years.
Orders may also be reduced at the State Review level when there is insufficient supply at CDC to fulfill all the requested doses. When this occurs, orders are reduced in accordance with our Allocation Plan (PDF).
- Why was my order denied?

Orders may be denied if we’ve requested follow up action items from your clinic and have not received the requested follow-up items (for example: temperature logs, vaccine loss surveys, DOAR surveys, inventory reports, etc.). All required monthly accountability reports are required to be in compliance before vaccine orders can be approved. We allow 7 business days, and we attempt 3 contacts before denying your order. These contact attempts may be within the IIS message, direct emails, REDcap alerts, and/or phone calls.
- Why don’t I have an order set?

This year, respiratory order sets are assigned only to providers who have submitted the Respiratory Choice Worksheet. If you do not see an order set for respiratory vaccines, a Respiratory Choice worksheet was not received for your facility.
- When will my order be approved?

Orders are reviewed and approved at the local level daily by your regional provider support specialist. Keep in mind during respiratory season we have a high volume of orders coming in so we allow 3 business days to review your order. If all accountability reports are up to date, the order can be approved. If anything is out of compliance, the order will be held, and your clinic will be contacted for follow-up.
While under allocation, orders are approved at the state level weekly. RSV orders are processed on Thursdays, flu orders are processed on Tuesdays, and COVID orders are processed on Wednesdays.
- Can we order a combination of 10-packs and 1-packs for clesrovimab?

Yes, and we encourage it. For example, if you need 11 doses of clesrovimab, you can order one 10-pack and one 1-pack to meet that exact quantity.
