This page provides an overview of the delegation process that allows an RN to authorize a staff member to enter medically verified immunization data into SCCIM. It outlines responsibilities for both the RN and the delegated staff member, and links to the official delegation form and training requirements.
Immunization data entry in SCCIM directly affects the student’s official immunization record in the Washington State Immunization Information System (WAIIS). Delegation is only allowed when specific conditions are met.
Proper delegation helps ensure:
- Immunization data is entered accurately and responsibly.
- RNs retain appropriate oversight and accountability.
If You Are a Registered Nurse
Determine if Delegation is Appropriate
- Only delegate if the staff member is willing, able, and has the necessary attention to detail for working with medical records.
- Before delegation, the RN must have their full access SCCIM account set up.
- Before delegation, the unlicensed staff member must have their limited SCCIM account set up. The account must allow them to edit the roster and print SCCIM reports.

Train the Staff Member
- Review and complete Delegation Form and Training Checklist: RN to Staff for Immunization Data Entry in SCCIM (PDF) with the staff member
- Confirm the staff member understands the importance of entering only medically verified records approved by the RN.
- Confirm the staff member understand how vaccination should be documented. See Enter Vaccinations.
- Review how and when to contact the RN with questions.
- Keep a copy of the completed form on file. Do not send the form to the Department of Health.
Request Delegation
Use the SCCI Wizard to request the staff person’s limited account be changed to full access under delegation. This does not need to be done annually.
- Supervise and periodically review performance.
- Renew delegation documentation annually.
Rescind Delegation
Use the SCCI Wizard to rescind delegation:
- If performance concerns arise.
- If the RN or the delegated staff member no longer works at the school or district.
If You Are a Delegated Staff Member
Complete Account Setup and Required Training
- Have your limited SCCIM account set up. You should be able to edit the student roster and print SCCIM reports. See SCCIM Training and Create and Manage Accounts for more details.
- Participate in training given by your RN.
- Sign and follow the instructions on the delegation form.
- Confirm you will only enter immunization dates as provided and verified by the RN.
- Understand your responsibility for entering data correctly and maintaining student confidentiality.
