This page explains how to upload or manage student rosters in the School and Child Care Immunization Module (SCCIM). A complete and up-to-date roster is essential for accurate immunization tracking and reporting.
Manage the Roster Manually
- Students can be manually added and removed from the SCCIM roster.
- Grades can be changed on the roster.
- See the section ‘Edit the Roster’ in the Training Guide: SCCIM for Schools (PDF).
Roster Uploads
The roster can also be updated by sending the SCCIM team a roster file. This is especially helpful for districts or private schools managing large numbers of students.
Determine If a Roster Upload Is Right for You
Uploading a roster may be helpful if you:
- Are setting up SCCIM for the first time.
- Have many new students.
- Need to make bulk updates before the reporting deadline.
- If you work with a small school or child care, you may be able to manage the roster manually without uploading a roster.
To Request a Roster Upload
Limited to one per month:
- Refer to Guide to Creating and Sending Roster Upload Files for SCCIM (PDF) to create the .csv roster file.
- Use the SCCI Wizard to securely send the .csv file to the SCCIM team.
- Do not email your roster, email is not secure.
Roster Creation Tips
Use your student information system (SIS) to generate the roster file:
- Skyward SMS or Skyward Qmlativ users: use the built-in “DOH Student Directory” report
- Other systems or no SIS: follow the template in the Guide to Creating and Sending Roster Upload Files for SCCIM (PDF)
Your roster file must:
- Be a .csv file. Other formats are not accepted.
- Include only legal names. The WAIIS is a medical database that uses legal names.
- Preferred names can be added as aliases after the file is uploaded.
- Include the school or child care codes.
- Have grades, birthdate, and phone numbers formatted correctly.
After Submission
- You will receive a confirmation email after submitting your roster.
- You will receive another email when your roster is uploaded successfully.
- Rosters are processed as they are received. Our goal is to process them in three business days. However, during busy times such as the beginning of school, the process may take longer.
